What’s included

• 40 billing lines: item number, description or cost code, scheduled value, work completed in previous periods and this period, and materials presently stored.
• Calculated columns: total completed and stored, % complete, balance to finish, and retainage per line, using one retainage rate you set.
• Contract summary: original contract sum, approved change orders, contract sum to date, total earned less retainage, previous payments, and current payment due.
• Built-in checks: flags any line billed over 100%, any amount with no scheduled value, and an SOV total that doesn’t match the contract sum.
• Application details: application number, period-to date and contract or PO number.
• Start Here tab: step-by-step instructions, a color key, and notes on stored materials and moving to the next period.

How to use this template

1. Type your company and project name, and fill in the application number, period and contract number.
2. Set your retainage rate (the sample is 10%) to match your contract.
3. Replace the three sample lines with your approved schedule of values, and add approved change orders as their own lines.
4. Each period, enter work completed this period, plus stored materials if your contract allows billing for them.
5. Fix anything flagged in red, then check the contract summary and current payment due.
6. Before the next period, roll this period into “previous periods,” or save a copy for each application.
