What’s included

  • Project & bid information: proposal date and number, bid due date and time zone, project, owner or agency, who it’s submitted to, your legal business name, license, contact, bid package, plan set revision and addenda acknowledged.
  • Scope included: a table for each scope item or location, the work included, and the drawing sheet or spec section it comes from.
  • Pricing: base bid, alternates, allowances, tax and a total line, plus the price basis (lump sum, unit price or T&M).
  • Qualifications, exclusions & clarifications: exclusions, assumptions, owner- or GC-furnished items, permits and testing, site access and hours, protection and cleanup, concealed conditions, and bonding, insurance and wage assumptions.
  • Schedule & commercial terms: mobilization and duration, lead times, how long the proposal is valid, payment and retainage basis, and how changes get authorized.
  • Authorization: signature lines for whoever submits it and, if used, whoever accepts it.

How to use this template

  1. Put your company name, address, phone and email in the top line, and fill in who it’s for, the project and the date.
  2. Fill in the project and bid information exactly as it appears in the bid documents, including every addendum you received.
  3. List your scope by area or item, with the sheet or spec section for each line, so nobody has to guess what’s in your number.
  4. Enter your base bid, then list alternates and allowances separately.
  5. Write your exclusions and clarifications. Write “None” instead of leaving a line blank.
  6. Set how long the price is good for, sign it, and send it the way the bid instructions require. If the owner or agency has its own bid form, that form comes first.
